Announcement: Membership Fee Increase Effective February 15, 2024

The Society for Creative Anachronism, Inc. (SCA, Inc.) is announcing an increase in membership fees and non-member registration fees for events.

This decision comes after careful consideration and extensive discussion among the Board of Directors, office staff, and Corporate officers. The effects of inflation across all sectors of operation, as well as other factors impacting the organization’s operational costs, including insurance premiums, legal expenses, and general business expenses, necessitated a comprehensive review of membership rates.

Annual membership fees have not been adjusted in over a dozen years, and non-member registration fees have not increased in over 15 years.

In response to the evolving financial environment, the organization streamlined operations during the 2020 COVID-19 pandemic and significantly reduced corporate expenditures. The relocation of the office to San Jose, CA resulted in an annual savings of over $35,000, and upgrades to software and CRM systems have netted a further savings of over $100,000 annually. While membership numbers have rebounded post-pandemic, operational costs continue to rise.

SCA, Inc. Corporate is solely funded by membership fees, including the Non-Member Registration fee, and does not currently seek operational funds from its Kingdoms or subsidiary organizations, including those overseeing Pennsic and Gulf Wars.

At the January 2024 meeting of the Board of Directors, the Board approved the following changes, effective February 15, 2024:

Raise the Sustaining membership price from $45 a year to $55 a year (This represents an $0.83 cents per-month increase over the previous monthly rate.)

Raise the Associate membership price from $30 to $40 a year. (This represents an $0.83 cents per-month increase over the previous monthly rate.)

Raise the Family membership price from $10 a year to $15 a year, per person. (This represents an $0.42 cents per-month increase over the previous monthly rate.)

No changes to Canadian or International memberships have been announced at this time.

Note: this change will take effect for all renewal transactions processed on or after February 15, 2024. Renewal transactions prior to that date will be processed at the previous rate, regardless of membership expiration date.

The Board also approved the following changes to Non-Member Registration fees, effective April 1, 2024:

  • Raise the Non-Member Registration Fee from $5 to $10 per event.  As always, this only applies whenever there is an actual event fee charged.

Both Sustaining and International Membership allow subscriptions to printed publications, as well as the ability to add Family memberships.

It should be noted that these increases remain less than the cumulative U.S. inflation increase of 36.5% which has occurred since 2011. (Data calculated using the US Inflation Calculator).

Announcement: Commentary Request – Draft Corpora Wording – Omnibus Peerage Proposal

Currently approximately 8000 people around the Knowne World actively participate in target archery, combat archery, siege weapons, thrown weapons and equestrian martial activities.  While no ultimate decision has yet been made the Board believes that a proposal of a path to peerage for these individuals is worthy of deep consideration.

Having received advice from the Peerage Committee, Directors have discussed the matter and following some minor amendments to language which align the proposed draft of Corpora wording to the existing patent orders, the Board feels that the proposal has matured to the point where commentary on the proposed Corpora wording from members is requested. This commentary will assist the Board in forming further decisions relevant to its consideration of this matter.

The draft Corpora language approved for commentary is:

VIII.A.4: 

e. The Order of <Name> 

(i) Members of the Order of <Name> may choose to swear fealty but are not required to do so. The candidate must have attained the standard of excellence in skill and/or knowledge equal to that of their prospective peers in a pre-17th century martial pursuit as practiced in the SCA, including, and limited to, target archery, combat archery, thrown weapons, equestrian activities, and siege engineers.  The candidate must have applied this skill and/or knowledge for the instruction of members and service to the kingdom to an extent above and beyond that normally expected of members of the Society. 

(ii) The duties of the members of the order are as follows: 

(a) To set an example of courtesy and chivalrous conduct on and off the field of honor. 

(b) To respect the Crown of the kingdom; to support and uphold the laws of the kingdom and Corpora. 

(c) If in fealty, to support and uphold the Crown of their kingdom. 

(d) To enrich the kingdom by sharing their knowledge and skills. 

(e) To enhance the renown and defend the honor of the peer’s Lady or Lord.

(f) To advise the Crown on the advancement of candidates for the Order of <Name>.

Knowing exactly what the people who work, study, and play in the Society want a potential new peerage to achieve and do will be key to moving forward in this discussion.  The Board welcomes any additional context that people feel may be of use to the discussion.

  • Does this language fill the gap I personally feel exists in the paths to peerage, why or why not? 
  • What is my ideal vision of a new peerage and its members? What virtue will they embody?

Seeking Next Society Seneschal

The Society for Creative Anachronism (SCA) is seeking candidates for the position of Society Seneschal/Vice President for Operations.

The Society Seneschal is considered both a Society and Corporate officer, and is responsible for coordinating the administration of the Society’s historical re-creation. This involves directing the activities of the Kingdom Seneschals and of Society-level deputies. Where questions arise concerning the intent of Corpora, the Board specifically authorizes the Society Seneschal to make interpretations and clarifications. The Society Seneschal is also responsible for reviewing all sanction related activities.

This is a part-time stipend position requiring a minimum of 25 hours per week, often more.

Announcements: Applications Open – Laurel Sovereign of Arms

The Society for Creative Anachronism (SCA) is seeking candidates for the position of Laurel Principal Sovereign of Arms (Laurel).

Laurel is the principal heraldic officer of the Society and the head of the College of Arms, and is responsible for fostering the study and practice of heraldry, supervising the processing of submissions, and overseeing the heraldic activities of the Known World.Laurel is an unpaid position, currently requiring approximately 20 hours a week. The position requires considerable tact and patience, armory and onomastic knowledge, supervisory ability, the ability to work within tight deadlines and coordinate closely with Wreath, Pelican, and other staff to produce a Laurel Letter of Acceptance and Return monthly, computer literacy and word processing skills, reliable e-mail and telephone access, and time and ability to travel.

Announcements: Removal of Crown Prince of Ansteorra

On September 4, 2023, at a Special Meeting of the SCA Inc. Board of Directors, the Board voted without opposition to remove Aaron MacGregor as the current Crown Prince of Ansteorra. The Board reached this serious decision after significant deliberation and with the advice of our Officers.

At this time, Ansteorra remains under the stewardship of the Stellar Crown, King Gabriel and Queen Sonja. We would ask that people extend all courtesy to Her Royal Highness Nicollet as she contemplates what will be best for the Kingdom in the next reign. Any further announcements regarding the next reign will be made at a Kingdom level.

As this matter is ongoing, no further public comment will be made by SCA Inc.

Digital Membership Cards are Here!

We are excited to introduce digital membership cards as a benefit of your SCA Inc. membership!  Following a soft launch in June 2023, members now have the opportunity to access your membership cards electronically.

Digital membership cards provide a more efficient and convenient way to carry your membership information with you to events. They can be installed directly into your Apple Wallet, Google Wallet, or Wallet Passes app, and once downloaded to your smartphone, don’t require internet to access. Your digital card will even update automatically when you renew or change your Society name.

Some other benefits of the digital membership card will include the option to print a physical copy at any time, as well as the ability to easily share your family’s cards between devices.

There is no need to download a separate app to access your digital card; it will be installed on your existing Apple or Android wallet app.

Our membership database is powered by Neon One CRM. Neon One uses SSL technology and Server Digital Certificates to encrypt sensitive data traffic over the Internet. Data replication is over private connections. The database is not directly accessible by IP address from the public Internet. For more information, see the Neon One SLA and Security Policy.

Your digital cards are provided in partnership with CuseumCuseum does not share, sell, or lease any member data. Furthermore, Cuseum complies with the EU-U.S. Privacy Shield Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information. Both Neon One and Cuseum utilize Amazon Web Services (“AWS”) for server hosting.

Note: We understand there has been some confusion around the Cuseum.com Privacy Policy and the statements there around Personal Information. This language is their general privacy policy as relates to Cuseum’s online properties, such as Cuseum.com, Cuseum’s apps (e.g. “[AR]T Museum”), newsletters, and pages/forms that collect information directly by/for Cuseum. It does not pertain to digital membership cards.

Announcement: Accidental Release of Business-In-Confidence Information

On January 29th, 2023, SCA Inc. Information Technology was notified by concerned members that the archives of the SCA-Comments list serve were accessible to the public. Although it is not the designated reporting channel, the comments email address has, at times, been used as a harassment and discrimination reporting vehicle. Subsequently, the breach had the potential to jeopardize a victim’s right to privacy and SCA Inc’s responsibility of protection for them. Upon receipt of this information, my team immediately acted to shut down the breach. However, data had been exposed long enough that several search engines had crawled and archived the data. The extent of this security breach was emails sent to SCA-Comments@lists.sca.org between April of 2022 and January of 2023.

The initial exposure was contained within a few hours of notification. Over the next couple of days other avenues of exposure to the same and similar data were found and locked down. My team began the process of getting the search engines to remove their archives of the information. At this point, we believe all access to that data has been removed and we feel that publishing this information will not cause further risk to any individuals concerned or the organisation.

The root cause of the breach was a misconfigured archive setting when the email address for comments was changed last year. To prevent further similar occurrences, SCA-comments has been moved entirely off the list serve system. The correct email address for comments is “SCA-comments@sca.org” (although the ‘lists.sca.org’ address will still work for now). This has been active for some time.

SCA Inc. Information Technology apologizes for any alarm or inconvenience anyone may have suffered because of this breach. Particular thanks go to Matthew Simon Ryan Cavalletto (Mathghamhain Ua Ruadháin) for initially alerting us to and helping assess the scope of the issue.

Ever gotten to an event only to realize that your membership card is still at home? Never fear! A new digital version of your card is now available and can be accessed easily from your mobile device!

Simply use your mobile device to display your membership card by logging in to https://members.sca.org/scacard

It will show your membership number, type, and expiration date, along with the names of other family members who are attached to a
Sustaining/International membership. Cards have a blue background when there is a signed waiver on file, or a white background if not.

Variance to Board Resolution of May 25, 2021, Regarding Preregistration Requirements

The Reopening Resolution approved by the SCA Board of Directors at their May 25, 2021 conference call meeting required preregistration for all SCA functions. As attendance caps will no longer be required, and the need to collect attendee information for contact tracing, while still present, is reduced, the Society Seneschal in cooperation with the President has issued an implementation variance to the May 25 Resolution regarding preregistration. The goal is to allow for the efficient operation of Society events while still preserving the ability to provide attendee information to government or health authorities if requested.

Therefore, preregistration for SCA events will no longer be required starting July 1, 2021.

All who attend any SCA sponsored event in North America including local meetings, fighter practices, etc. must be signed in on a roster, at Troll, etc. prior to entering the event. This can be a roster sign-up sheet for small events, but along with a legal name the attendee must provide some method of contact. That can be email, phone number, or street address. Kingdoms may add additional requirements for events as they choose, but in all cases, there should be a complete list of those who are at any SCA event. Such event/meeting rosters should be kept by the local Seneschal or in the manner prescribed by the Kingdoms for such information. Such information will be held pending further instructions by the Society Seneschal or President.

Kingdoms and groups may continue to require preregistration for certain functions at their discretion.
